Convert a PDF into a training video: what EducPilot reads, and what it makes of it

No general method here: what actually happens when you upload a PDF to EducPilot, page by page, what the software accepts, what it refuses, and what you get at the end.

3 min read

Video actually generated with EducPilot for Cabinet Morel & Associés, a fictional accounting firm, from 4 PDFs of the French tax administration. In French, 16:9, 1 min 42 s.

The method for turning a document into a video (one objective per video, start from a situation, have the expert review) is in our guide How to turn a PDF into a training video. This page describes the tool.

What you can upload

In one sentence: one or more PDFs with selectable text, up to 50 MB each.

AcceptedNot accepted (for now)
PDFs with text (exported from a word processor, spreadsheet or slide deck)Scanned PDFs without text: run them through OCR first
Several PDFs in one projectWord (.docx) or PowerPoint (.pptx) files: export them to PDF
Up to 50 MB per filePDFs that ask for a password to open

Files are checked by their content, not their extension: a file that does not start like a PDF is refused.

What happens to your PDF, step by step

  1. The text of each page is extracted and stored page by page. That is what lets the video cite “p. 4” later.
  2. A summary and an outline of the document are prepared, so the assistant knows what each part contains without rereading everything at every message.
  3. The assistant proposes a plan: how many videos to make, the objective of each, and what stays in the PDF. Nothing is produced before you approve.
  4. The storyboard, then the video build up in the preview: drawing, synthetic voice, burned-in subtitles, music if you keep it. Every statement is linked to the PDF page that supports it.
  5. You correct by annotating the frame at the right moment; the assistant writes the next version and only that scene changes.

What you get

  • An MP4 file in 1080p, 16:9 (intranet, LMS, meeting room) or 9:16 (phone, chat).
  • Burned-in subtitles, so the video works without sound.
  • Your brand: the color, name and voice of your brand kit.
  • In English, French or Chinese, and one video can switch languages.

A real example

Four public PDFs from the French tax administration on e-invoicing (an FAQ, two fact sheets, a getting-started guide) became the 1 min 42 s video above. Every statement cites its page; two review rounds were enough.

How much video from one PDF

A 40-page PDF rarely makes a 40-minute video: rather three to six videos of one to three minutes, one per objective. To estimate how long a text takes to read aloud, use our voice-over duration calculator. On price, only the generated video uses minutes: 5 minutes are free at sign-up, the storyboard and its revisions are free, and monthly plans start at €20 incl. VAT for 30 minutes.

Frequently asked questions

How do I turn a PowerPoint or Word document into a training video?

Export it to PDF first (File, then Export, then PDF, in PowerPoint and Word alike), then upload the PDF. EducPilot does not read .pptx or .docx files directly. Speaker notes only come along if you include them in the export.

My PDF is a scan. What now?

EducPilot reads the PDF’s text; it does not run OCR. Put the scan through an OCR tool first to get a PDF with selectable text.

Are the PDF’s images and tables used?

The text of the pages, tables included, is read and can be cited. The PDF’s images are not reused as such: the video’s illustrations are drawn for it, and photos come from openly licensed image libraries.

Are my documents sent to an AI?

Yes: the document’s text is read by an AI model to prepare the plan and the video. Data is hosted in Germany. Remove unnecessary personal data from the PDF before uploading.
